Disconnected fuel reporting and navigating state tax incentives
The Cardiff Limo team's key objective was to automatically integrate fuel records into their maintenance platform. As an existing customer of both Fleetio and Dover Fueling Solutions, they didn't want to change providers or end up with an expensive alternate solution to achieve this objective.
They knew that by having both these systems connected, they would be able to significantly improve how they monitor their fleet's fuel usage and costs, as well as create more visible opportunities to seek potential taxation incentives as a California-based business.
Manually entering their fuel records would be a repetitive and time-consuming task, as well as prone to human error which would lead to faulty records and incorrect reporting.
The team realised that they needed to accurately restructure their fuel data format in order to be pushed into their maintenance software — an intricate and complex task that they did not have the ability to do in-house.
Putting the brakes on outdated fuel tracking
Fleetyr helped Cardiff Limo clean and structure the fuel records from their Dover Fueling Solutions system so that they were ready to be pushed into Fleetio maintenance software.
We then created a custom fuel data report automation from their Dover portal and designated this report to automatically be sent to a "folder" on our side on a daily basis.
To align with California state fuel tax incentives, we also created additional workflows that added custom identifiers to specific trips and assets classified as fuel tax exempt. These additional fuel transaction records can be easily identified for Cardiff Limo's tax reporting purposes.
The Cardiff Limo team now have over 250 automated fuel transactions pushed into their Fleetio portal each month, including practical custom metrics like Asset ID, Vendor, Volume, Total Spend, and Tax-Exempt Transactions.

Adding manual fuel transaction records was previously a time-consuming task that the Cardiff Limo team intended to modernise.
Their new custom fuel integrations allow the team to monitor its fuel transactions and tax exemptions more accurately and efficiently than ever — all at 1/6 the cost of a gallon of fuel.
