Inefficient fuel reporting tools that leave you stuck in neutral
Waipā District Council relies on reporting and analytics to track and manage their fleet.
Their main objective was to automate the collection and combination of fuel and telematics data, as well as have the relevant tools to explore those metrics and take data-driven action. They realised that having data presented as relevant visualisations and dashboards would be the most efficient way to find anomalies and opportunities for their fleet.
Although the previous telematics provider Waipā District Council had been using for some time included certain reporting features, they decided to take their analytics a step further in order to both improve their fleet utilisation and feel more confident with detailed fleet reporting.
In late 2023, Waipā District Council changed their telematics provider to Teletrac Navman 360 and enlisted Fleetyr to help them build custom fuel integration reporting.
Bridging the gap with an in-depth fuel reporting integration
We created a daily ingestion of Waipā District Council's BP fuel card transaction data into our BYO Analytics platform. By default, the only way to get access to BP's fuel transaction data is to send a scheduled daily report via the BP portal. The data format and structure, however, needed to be changed and cleaned to be able to feed them into Fleetyr's BYO Analytics platform.
We also ingested various telematics data from Teletrac Navman 360 via numerous API calls, after restructuring the data for Fleetyr's BYO Analytics platform.
With all the data cleaned and routed to the relevant endpoints, we helped Waipā District Council push them into Fleetyr's Power BI analytics dashboard. As an existing Microsoft customer, this means that they wouldn't have to log into another environment to access their fleet analytics.
On top of that, we also embedded the dashboards in SharePoint and created an automatic daily refresh so that the Waipā District Council team always had access to the most up-to-date data.
The Waipā District Council team now have access to 10 Fleetyr dashboard templates across fuel, telematics, utilisation, and driver behaviour — helping them easily and quickly track and manage their fleet.
"I have appreciated the support and training that Fleetyr has provided us with whilst we transitioned to this new product. Tim [from Fleetyr] has been thoughtful of how any development would impact our organisation — and pointed out efficiencies that would benefit us."
— Claire Vincent, Fleet & Travel Coordinator, Waipā District Council
Paving the way for smarter, high-performing local government fleets
With the custom fuel integration automatically and accurately feeding data into the system, Waipā District Council's fleet and sustainability teams have gained more time to find solutions and fix issues that help them get closer to their sustainability and operational goals.
Fleetyr has helped Waipā District Council achieve the following:
- Track and reveal fuel-up anomalies or misuse.
- Find anomalies and take action on issues around under-utilised and over-utilised assets.
- Share the dashboard with other council department teams, who previously had to calculate and aggregate the data manually.
- Seamlessly process 300 fuel transactions and over 2 million rows of data each month.
Our Council is very excited to have access to this fantastic data tool and look forward to continuing the strong relationship we have already developed with Fleetyr.
